Create a tax-year balance worksheet

A dated worksheet helps distinguish reported tax from later account changes.

Updated October 23, 2026 · 2 min read · General educational information

Start with your situation

Use separate rows for the return, adjustment, payment, penalty, and interest information you have. Leave unknowns visible so the worksheet remains a record of evidence rather than a guessed conclusion.

Build the balance from its parts

The amount on a return, the amount on a bill, and today's account balance can differ. Payments, adjustments, penalties, and interest may explain the difference. IRS account information and payment history help identify what has posted. Keep each tax year separate so an older debt is not confused with a current obligation.

Reconcile one year at a time

Start with the return, add the agency's adjustments, and compare payments against confirmations and account activity. Record the date of each balance because figures can change. Flag missing payments with their amount, date, method, and confirmation number. Do not submit a second payment merely to make a spreadsheet agree before investigating the first transaction.

  • List every affected tax year
  • Save payment confirmations
  • Date each balance snapshot

Questions to consider

Is an old letter the current payoff amount?

It may not be. Check current agency information, especially when interest, later payments, or adjustments may have changed the account.
